Who we are

Rough Creed ("we", "us", "the club") runs this website and is the data controller for the personal information described in this policy.

We are based in the United Kingdom. This policy explains what personal information we collect, why we collect it, and what rights you have over it under the UK GDPR and the Data Protection Act 2018.

What information we collect

If you contact us — your name, email address, phone number if you give it, and whatever you put in your message.

If you join the club — your name, contact details, date of birth, emergency contact, membership number and payment records, and any medical or dietary information you choose to give us for events. We may also record what you ride, and whether you hold a current licence and insurance.

If you book onto a ride, rally or event — your name, contact details, emergency contact, and any access or dietary requirements.

If you make a donation or buy club merchandise — your name, contact and delivery details, and a record of the transaction. Card payments will be handled by our payment provider, and we do not see or store your full card details. Charitable donations will be handled by our prepared charity partner go fund me.

Where we rely on legitimate interests, we have considered whether our interest in running the club is outweighed by your rights, and we think it is not. You can object at any time — see Your rights.

Photographs

We take photographs at meets, bike nights, ride-outs and charity events, and we publish a selection on this website and on our social media pages.

If you would prefer not to appear in photographs, tell any committee member at the event and we will do our best to keep you out of shots.

If you find a photograph of yourself already published and want it taken down, email us at roughcreedmc@outlook.com and we will remove it from our website and our own social media accounts. We cannot control copies that others have already downloaded or shared.

If you send us a photograph for the gallery, please make sure anyone clearly identifiable in it is happy for it to be published.

We do not publish photographs of children without the agreement of a parent or guardian.

Who we share it with

We do not sell your information, and we do not share it for anyone else's marketing.

We share it only with:

  • Service providers who run things on our behalf — Ionos our webhost, Microsoft Outlook our email provided, go fund me our preferred charity funding provider — who act on our instructions;
  • Event organisers, campsites or venues, where you have booked onto an event through us and they need a name list;
  • The charity we are fundraising for, where you have asked us to pass on your details;
  • Anyone we are legally required to share it with, such as the police in response to a lawful request, or HMRC.

Some of our providers may store data outside the UK. Where they do, we rely on UK adequacy regulations or the International Data Transfer Agreement to protect it.

How long we keep it

  • Enquiries: [12 months] after your last contact with us.
  • Membership records: for as long as you are a member, and [2 years] after you leave.
  • Financial and Gift Aid records: [6 years], as required for tax purposes.
  • Newsletter subscriptions: until you unsubscribe.
  • Photographs: indefinitely, as a record of the club's history, unless you ask us to remove one.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • have inaccurate information corrected;
  • ask us to delete information, in certain circumstances;
  • ask us to restrict how we use it, in certain circumstances;
  • object to us using it where we rely on legitimate interests;
  • ask us to transfer it to another organisation, in certain circumstances;
  • withdraw consent at any time, where we rely on consent.
